How to Create a Trackable Link for Any Document

3 min read

To create a trackable link, upload your document in Docutracker, click Create Share Link, set access rules (email verification, password, expiration, and download settings), then share the generated URL. Your result is a single link that shows views, time spent, page-level engagement, and repeat visits.

Step 1: Upload the document you want to track

  1. Sign in to Docutracker and go to your dashboard.
  2. Click Upload Document.
  3. Select your file (PDF, PPT, PPTX, image, or editor-created document).
  4. Wait until the file status shows Ready.

Expected result: The file appears in your dashboard and is available to share.

Why this matters: Tracking starts from the shared version in Docutracker, not from a file attached in email.

Step 2: Create a share link and configure access

  1. Open the uploaded file.
  2. Click Create Share Link.
  3. Set a clear internal name (for example, Q2 Proposal - Acme).
  4. Configure optional controls:
    • Email verification to identify viewers.
    • Password protection for confidential content.
    • Expiration date for time-bound offers.
    • Disable downloads to reduce uncontrolled sharing.
  5. Save the link.

Expected result: You get a unique URL like https://docutracker.io/share/... (or your branded subdomain).

Why this matters: Access controls improve data quality and protect sensitive material.

Step 3: Share the link in your normal workflow

  1. Copy the generated link.
  2. Paste it into Gmail, LinkedIn, Slack, your CRM, or your client portal.
  3. Add one clear call to action, such as "Please review this before Friday at 5 PM."

Expected result: Recipients open the link in a browser and your analytics begin collecting immediately.

Why this matters: A link-based workflow gives you behavior data that attachments cannot provide.

Step 4: Read engagement data and prioritize follow-up

  1. Open the link analytics page in Docutracker.
  2. Check:
    • Total and unique views
    • Last viewed time
    • Average read time
    • Completion rate
    • Page-level attention
  3. Use those signals to decide who to follow up with first.

Expected result: You can separate high-intent viewers from low-intent viewers in minutes.

Why this matters: Better timing and better context usually improve reply and close rates.

Troubleshooting

If viewers cannot access the link

  • Confirm the link did not expire.
  • Confirm the password was shared correctly.
  • If email verification is enabled, make sure the viewer uses the intended email.

If analytics look low or incomplete

  • Verify recipients opened the Docutracker link, not an old attachment.
  • Wait a short moment and refresh (events can appear with slight delay).
  • Check whether strict security settings prevented some users from entering.

If you updated the document but metrics look mixed

  • Create a new link for the new version.
  • Keep old and new links separate so engagement data remains clean.

Quick checklist before sending

  • File is final and readable on mobile.
  • Link name is specific and easy to find later.
  • Security settings match document sensitivity.
  • CTA and review deadline are included in your message.
  • Notification preferences are enabled for important shares.
