Docutracker FAQ for Legal Professionals
How attorneys and legal teams track contract reviews, maintain access audit trails, and stop chasing clients — with full security controls for sensitive documents.
Instead of sending 'just checking in' emails that feel unprofessional, Docutracker tells you exactly when a client opens a contract, how long they review it, and which sections they linger on. If a client opened the agreement three times without signing, you have context to call and ask what questions they have — rather than blindly following up and hoping for the best. The result is fewer awkward nudges and faster executed agreements.
You can track any PDF or PowerPoint document: engagement letters, NDAs, vendor agreements, settlement summaries, term sheets, operating agreements, licensing contracts, lease agreements, policy documents, and more. Any document you currently send as an email attachment or via a file-sharing service can be replaced with a Docutracker tracked link.
No. Docutracker tracks document engagement and provides detailed audit logs — when it was opened, by whom, for how long, and which sections were reviewed. It does not provide e-signature functionality. Most legal professionals use Docutracker upstream of signature: they share the agreement via a tracked link first to understand how the client is engaging, then move to DocuSign or a similar tool to execute.
Yes. Docutracker logs a complete access record for every document view: viewer identity (if email verification is enabled), timestamp, session duration, pages viewed, time per page, and device type. This chronological access log is preserved permanently in your dashboard and provides a timestamped record of when a document was accessed. While Docutracker is not a court-certified document management system, the access logs are useful for internal compliance tracking and dispute resolution context.
Yes. Docutracker tracks time-on-page for every page of your document. If a client is spending 8 minutes on the indemnification clause and 30 seconds on payment terms, you know where the negotiation is going before they raise it. This section-level intelligence lets you prepare responses to objections that haven't been voiced yet, dramatically improving how you handle redline sessions.
Yes. Set a password when creating a share link so only recipients who know the password can access the document. Passwords are stored encrypted and never appear in the URL or in your analytics. This is particularly important for privileged documents, settlement terms, or executive agreements where access should be restricted to specifically identified parties.
Yes. Create share links with expiration dates matching agreement deadlines or offer windows. Once expired, the link becomes inaccessible — the document can no longer be opened by anyone who has the URL. This is useful for limited-time settlement offers, time-sensitive term sheets, or any situation where you need to control the lifecycle of document access.
Yes. Disable the download option on any share link so recipients can only view the document in-browser — they cannot save a local copy. Combined with email verification (so only identified individuals can access the link in the first place), this provides meaningful access control for documents containing privileged or confidential information.
Yes. Enable the email gate and clients must provide a verified email address before they can open the document. Docutracker screens out disposable and undeliverable addresses. The verified email is tied to the full engagement session, creating an identity-linked access log. This is particularly useful when you need to demonstrate that a specific individual accessed a specific document on a specific date.
Native integrations with legal DMS platforms are not available yet. Docutracker works with any document you can export as a PDF. Most legal professionals export from their DMS, upload to Docutracker for client-facing distribution, and reference the engagement analytics in their matter notes or client communication records. If DMS integration is important, let us know — it helps us prioritize the roadmap.
Yes. Docutracker share links are plain URLs that work in any email client, practice management system, or communication platform. Replace PDF attachments with Docutracker links in Outlook, Gmail, Clio, PracticePanther, or any other tool you use to communicate with clients. There's no plugin or integration required.
Solo attorneys typically start on Pro ($10/month for 50 documents) — enough for active client contracts, engagement letters, and NDAs. Small firms with 2–4 attorneys often use the Business plan ($49/month for 4 users) so each attorney has their own analytics and document library. Business annual billing ($39/month for 6 users) is the most cost-effective option for growing practices.
Yes. The Free plan gives you 5 document uploads per month with full tracking, real-time notifications, and email capture — no credit card required. For a solo practitioner or legal ops professional evaluating the tool, the Free plan provides enough functionality to validate the value before committing to a paid plan.
Per document upload. Once a contract is uploaded and a link is created, it can be sent to and opened by multiple parties without additional charge. For a litigation team sending the same agreement to multiple counterparties, or a transactional attorney distributing executed agreements to multiple signatories, this pricing structure is efficient.
All uploaded files are stored in encrypted cloud storage and are only accessible via secure, authenticated URLs. Docutracker does not read, index, or analyze the content of your documents. Only you (the account holder) can access your documents and their analytics. Docutracker staff cannot view the contents of your uploaded files. This applies to all documents regardless of their sensitivity.
Docutracker is a document sharing and analytics platform, not a certified legal document management system with privilege controls. It provides encryption, access restrictions, and secure storage, but does not offer the formal privilege workflow controls found in dedicated legal DMS platforms. It is most appropriate for client-facing documents where the primary goal is engagement visibility and access control — not privilege classification or multi-party redaction workflows.
Docutracker collects viewer engagement data including email addresses when you enable the email gate. If you're collecting data from EU-based individuals, you should ensure your use of Docutracker is consistent with your GDPR obligations as a data controller — including appropriate disclosure in your privacy policy and client communications. Docutracker processes data as a data processor on your behalf. For specific compliance questions, consult your data protection officer or legal counsel.
